A simple quote-to-payment workflow

Prepare the details once, keep a copy for your records, and review the final document before you send it.

1. Make a quote

List the work, quantities, pricing, discount, and any assumptions. Choose a validity date and save the quote locally.

2. Get customer approval

Print or save the quote as a PDF and send it using your own email or business process. Invoice XL does not send documents for you.

3. Create the invoice

Open the saved quote and choose “Convert quote to invoice.” Check the due date and payment terms before sending the invoice.

Practical invoicing notes

Clear documents reduce misunderstandings. Use these checks as a starting point and adapt them to your own business and local requirements.

What to include on an invoice

Identify your business and customer, use a unique reference number, date the document, describe each item clearly, show quantity and rate, and state the total and payment terms. Keep a copy with your business records.

Make quotes easier to approve

Describe what is included, note important exclusions or assumptions, list each price, and set a date through which the quote is valid. If the scope changes, update the quote and get agreement before beginning additional work.

Check amounts and tax

Invoice XL calculates line totals, a percentage discount, and a percentage tax from the values you enter. It does not determine whether tax applies or which rate your business must use. Confirm tax and reporting rules with the appropriate authority or a qualified professional.

Protect business records

Download a PDF for your customer and an optional JSON backup for your own records. Keep backups in a secure place. Avoid leaving customer details in a shared or public computer browser.

Your documents stay in your browser

InvoiceXL performs calculations and saves drafts on this device. It does not upload invoice or quote details to an InvoiceXL server. The page loads its typefaces from Google Fonts; draft data is stored in browser storage and may be removed by the browser or the user. Use the backup control for records you need to keep.

Questions, answered

Does Invoice XL send invoices or collect payments?

No. It creates a document for you to print, save as PDF, and send through your own email or payment system. It does not process payments.

Can I turn an approved quote into an invoice?

Yes. Save your quote in the browser, then open it from the saved drafts list and use the conversion button. Review its number, issue date, due date, and terms before sending.

Where are my drafts stored?

Drafts are stored in this browser on this device. They are not an online account or a guaranteed backup. Export JSON backups and store them securely.

Does Invoice XL calculate my tax obligations?

No. It applies the tax percentage you enter to the discounted subtotal. You are responsible for confirming whether tax applies and entering the correct rate for your situation.

Can I use Invoice XL for official accounting?

Invoice XL creates printable business documents; it is not bookkeeping, accounting, tax, or legal advice. Check that the generated documents meet your record-keeping and local requirements.
